Reservations
Reservations can be made by phone or email. All bookings are confirmed in writing via email.
An invoice or booking confirmation will be sent after the reservation is made. The booking is considered confirmed once payment has been received within 7 days of confirmation.
Payment Methods
All prices and payments are in euros (€).
For international bank transfers outside the eurozone, a handling fee of €30 will be added.
Financial Security
Northern Lux Escapes Oy operates in cooperation with Bear Centre (Wild Brown Bear Oy), a registered package travel operator in the Finnish Competition and Consumer Authority’s register of package travel providers.
The required financial guarantees have been provided in accordance with Finnish legislation to secure customer advance payments where applicable.
Cancellation Policy
The following cancellation terms apply:
- 60 days or more before arrival: 100% refund
- 30–59 days before arrival: 50% refund
- Less than 30 days before arrival: no refund
Refunds in Exceptional Cases
Refunds may be considered if the customer is unable to participate due to:
- illness or accident
- death of a close relative
- disruption of public transport or flights
- exceptional weather conditions
- emergency situations at home
All cases must be supported by appropriate documentation. Each situation will be assessed individually.
General Conditions for Refunds
- The reason for cancellation must not have been foreseeable at the time of booking
- No refund will be granted for booking errors or change of mind
- Customers are responsible for their own travel arrangements, documents, and timing
- Any supporting documentation must be provided at the customer’s expense
Liability and Complaints
Northern Lux Escapes Oy is not responsible for personal belongings, illness, injury, or damages incurred during the experience.
We strongly recommend that all guests have comprehensive travel insurance, including cancellation coverage.
We are committed to delivering all services as described on our website and program materials. However, we are not liable for disruptions caused by external factors beyond our control.
Any concerns must be reported immediately during the experience. If unresolved, a written complaint must be submitted within 30 days after the experience.
Applicable Law
All bookings and agreements with Northern Lux Escapes Oy are governed by Finnish law. Any disputes will be handled in Finland.
Personal Data
Northern Lux Escapes Oy stores customer information (such as name and contact details) solely for booking and service purposes.
Personal data will not be shared with third parties. Customers may request removal of their data at any time.
